# Data Sync and Management

Data sync keeps Topicflow up to date with employee information and organizational structure.

## Employee data sync

**HRIS integration:**
Sync employee data from your HRIS:

* Names and email addresses
* Department and team
* Manager relationships
* Start dates

**Manual updates:**
If not using HRIS integration, admins can:

* Add employees manually
* Update manager relationships
* Manage departures

## Organizational structure

Topicflow maintains:

* Reporting relationships (who reports to whom)
* Team structure
* Department hierarchy

This data powers:

* One-on-one creation
* Review participant selection
* Reporting and analytics

## Data retention

Admins can configure:

* How long to retain completed reviews
* When to archive old goals
* Survey data retention policies

## Departing employees

When an employee leaves:

* Their data can be retained (for historical reporting)
* Access is removed
* Meetings and goals are archived

## Best practices

* Keep HRIS sync enabled for automatic updates
* Review organizational structure regularly
* Set clear data retention policies
